Privacy Policy

This policy explains how Syntronix Solutions ("we", "us"), operator of AI Swarm Sell(aiswarmsell.com), handles personal information. We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, for users in the EU/EEA and UK, the General Data Protection Regulation (GDPR).

2. What we collect
Account data (name, email, login credentials) to operate your account. Workspace / tenant datayou or your team provide (company knowledge, leads, conversations, email content drafted or analyzed via the Gmail integration) to deliver the service. Technical data (session cookies, log/usage data) to secure and improve the service.
3. Why we use it (purposes & legal bases)
To provide and secure the service, prevent abuse, and improve the product. Under PIPEDA we rely on your consent and on purposes a reasonable person would consider appropriate. For EU/UK users, our GDPR legal bases are performance of a contract (Art. 6(1)(b)), legitimate interests (Art. 6(1)(f)), and consent (Art. 6(1)(a)) — e.g. for connecting your Gmail account.
4. Tenant isolation & AI processing
Your data lives only in your own tenant and is never shared across customers. We use in-house, per-tenant API keys for AI processing. Your customer lists and product data are never used to train public models. Every outward email is drafted for your sign-off by default.
5. Service providers & recipients
We use the following processors under appropriate data-processing terms:
- Vercel Inc. — Application hosting & CDN (US/EU).
- Neon Inc. — Managed Postgres database (tenant data) (US/EU).
- Anthropic PBC — LLM processing (Fast Path) — API data not used for training (US).
- OpenAI LLC — LLM/embeddings processing — API data not used for training (US).
- xAI Corp. — LLM processing for public-data research only (US).
- Google LLC — Gmail integration (read threads + create drafts) via OAuth (US).
- Resend Inc. — Transactional & outbound email delivery (US).
6. Cross-border transfers
We are based in Canada and use service providers located in Canada, the United States, and the EU. Personal information may therefore be processed outside your country and may be accessible to foreign courts and authorities. For EU/UK transfers we rely on Standard Contractual Clauses and equivalent safeguards. An EU data-residency option is available on request.
7. Retention
We keep personal information only as long as needed for the purposes above or as required by law. Tenant data is deleted on account termination, subject to legal retention obligations.
8. Your rights
You may request access to, and correction of, your personal information, and may withdraw consent, subject to legal limits. EU/UK users also have rights to erasure, restriction, portability and objection (Art. 15–21 GDPR). Contact support@aiswarmsell.com. You may also complain to the Office of the Privacy Commissioner of Canada, or your local supervisory authority (EU/UK).
9. Cookies
We use strictly necessary cookies for authentication/session handling and privacy-friendly, aggregate usage analytics. No advertising or cross-site tracking cookies are set.
